CLGW requires Multi-Factor Authentication (MFA) on all account access outside of our secure network. You are likely familiar with MFA already as most banks and many other online services have enabled these features.
Many of you use SMS-based Self-Service Password Reset (SSPR) and have been able to reset your own password.
Having MFA enabled on your account means that when logging into your CLGW account, you may not only be prompted for your CLGW username and password, but also a second method of authentication. This could be entering a number from your screen into the authenticator app, or a code sent via a text message.
Microsoft recommends that you set up the Microsoft Authenticator application on your device (Android 8.0+ or iOS 15.0+) and use that for maximum security. This app also provides the most seamless experience when signing in as you will receive a push notification to your device that you can easily approve and verify with biometrics (ie, fingerprint scan) or device passcode.
At this time, the Authenticator app is not required, and as a backup, you can utilize a backup MFA method such as SMS message or phone call. These methods are less secure than app-based authentication, but are still currently available as an option from Microsoft.
If you have a CLGW-assigned smartphone – the Microsoft Authenticator app should already be on your CLGW device – if it is not, please open a ticket and we will ensure it’s pushed to your device. You can then enroll using the same instructions below – using the CLGW-assigned smartphone.
Currently, Authenticator supports iOS 15.0+ and Android 8.0+. If your smartphone doesn’t meet those requirements, then you’ll need to use SMS or phone-call based authentication instead.
If you run into any issues during enrollment, or have any questions, please open an IT ticket and we will follow-up. Please include which step you are at, and any error messages, screenshots, etc.
Enrollment Instructions:
How to add Authenticator to your CLGW account
Sign into the CLGW computer using your CLGW account (FirstnameLastname@clgw.ca) and password.
Open Microsoft Edge, and navigate to: https://aka.ms/mfasetup
Sign into your CLGW account, then click “Add sign-in method”
Select “Authenticator App” from the drop-down (or “Phone” if using SMS or call-based authentication)
Download the app on your smartphone that will be used for MFA. QR codes for download are at the bottom of the email. If you already have another Authenticator app you would prefer to use, select “I want to use a different authenticator app”.
If prompted, allow notifications and then add an account (+ icon in top right) and select “Work or school”
A QR code will be displayed to add your account. Select “Scan QR Code” option in the Authenticator app. Then, focus the phone’s camera on the QR code displayed on the screen of the CLGW computer.
After this, you will be sent a notification to verify things are set up correctly.
Enter the number into the notification/app, and select “Yes” that it’s you making the sign-in request.
You should now see Microsoft Authenticator listed on the https://aka.ms/mfasetup page:
You have now successfully enabled Multi-Factor Authentication on your CLGW account!
If you need to reset your MFA (device change, lost), please open an IT ticket so we can verify your identity, and then enable you to regain access to your account.
If you select the phone method, you will need to provide your phone number and similarly provide a code that is either texted or called to that number.
